Reminders (new information if you are first time user):
Setting your 2007 Fall Bb course(s) to available
Remember to make your Fall 2007 course(s) "Available" in the Blackboard system when you are ready for your students to see the course. All courses are set to "Unavailable" when you first create them. Courses that are "Unavailable" are not visible to the students in the course. To set your course to be available to students, please do the following:
1. From the Control Panel of the Course, choose Settings.
2. From Settings, choose Course Availability.
3. Set the course to be Available and Submit.
Combining course rosters for Multiple sections or Cross-listed courses
If you are teaching multiple sections of a course or a course is cross-listed and you would like to have the enrollments for all of the sections combined into a single Blackboard course, please submit an on-line help desk ticket at http://www.at.vcu.edu/helpdesk/ or email blackboard@vcu.edu. In the email, please tell us the name of the course that you have created in Blackboard and the specific course sections that you would like to have directed into that course. For example:
"Please combine sections 001, 002, 003 and 004 of PSYC-101 into the Blackboard course PSYC-101-001-2007Fall."
Or
“Please Combine WMNS-101-001-2007Fall into the Blackboard course PSYC-101-001-2007Fall”
It usually takes a business day for the roster to update after you have made your request for combined sections or cross-listing, and after you have created the course in Blackboard.
Download Gradebook from Prior Semester course(s) for your Personal Copy
To save your own personal copy of the Bb gradebook (we highly recommend you keep a copy), perform the following steps:
1. From the Control Panel of the Course, click on Gradebook
2. Click on Download Grades
3. Select Delimiter Type (Comma or Tab, if you use Microsoft Excel either will be OK).
4. Click on Submit
5. Click on Download
6. Click on Save (save to your desktop computer)
This file can be opened in Excel.
As a side note, you can download your gradebook at any time during the semester, open it in Excel, make changes to an existing column or add a column. Then you can upload it back into Blackboard.
To upload grades:
1. From the Control Panel of the Course, Click on Gradebook
2. Click on Upload Grades
3. Follow the instructions on the screen
Deploy Bb Quizzes one question at a time – helps prevent lockouts
If you use the test manager in Bb, when you deploy the test, there is an option under Modify Test Options for Presentation Mode. To help alleviate the problem with Bb test locking, the option One at a Time should be checked -
Presentation Mode: check One at a Time. Present one question at a time.
The student will be required to click Submit after answering each question. This means the student spends less time on a single web page, which runs the risk of timing out if they are on the page for a long period of time.

Blackboard Maintenance Schedule
This is a reminder that the Bb system will be taken down the second and fourth Friday of each month from 4pm to midnight to perform maintenance. Go to this link to see actual dates: http://www.vcu.edu/ls/BbSchedMaint/Index.htm. Please remind your students of these dates.
Bb System Announcements for scheduled or unscheduled downtime are posted to a blog (http://blog.vcu.edu/blackboard). If the system is down this is a good place to check for announcements related to the maintenance. If the system is up, a link to this blog can be found under the Bb Help tab – VCU Bb7 System-wide Announcements.

New Information:
Blackboard e-mails will come from blackboard@vcu.edu (you can also use blackboard@vcu.edu when you need help).
To better serve the user community the Blackboard Team has created a blackboard@vcu.edu e-mail account. The blackboard@vcu.edu will be used to keep you posted of items related to Blackboard at VCU. In the past, these e-mails came from Sheila Chandler’s email address (sdchandl), now look for them to be from BLACKBOARD.
You can also e-mail blackboard@vcu.edu if you need help with Blackboard.
Blackboard Known Issues
Technology Services Learning Systems staff has created a Bb Known Issues link in the FAQs. To locate the FAQs, click on the Help Icon (http://faq.vcu.edu/ts) at the top of the VCU Blackboard website (http://blackboard.vcu.edu). After opening the FAQs webpage, click on Blackboard in the left hand menu and then click on Bb Known Issues. As Known Issues are corrected they will be removed from the FAQs.
Bb Courses from 2005Spring semester were moved to archive servers over the Summer
Bb courses for 2005 Spring semester were moved to an archive system and moved off of the production system. A total of five years of Bb courses will either be on the archived system or on the production system. The current two years (2005Summer – 2007Spring) are on the production system and the three prior years are on the archive system. If you need an archived course restored, send a request to the Technology Services Help Desk at http://www.ts.vcu.edu/helpdesk or blackboard@vcu.edu or call 828-2227.
Bookmark the Blackboard Faculty Blog
Bookmark the Bb Faculty Blog (http://blog.vcu.edu/blackboardfaculty) for easy access to up-to-date VCU Bb news. This blog is maintained by the Technology Services Learning Systems staff. This blog is used to post information that would be of interest to Blackboard users that have a role of instructor on a Bb course or organization. For example, during maintenance the status of the upgrade is posted, emails coming from Respondus, Softchalk/LessonBuilder, and Wimba are posted, information coming from Blackboard the company is posted to this blog, and other information the Bb Team deems of interest to the Bb instructor. If the Bb system is down you can still access the blog to check on the status of the system by going to http://blog.vcu.edu/blackboardfaculty. The blog is also accessible from Blackboard by going to the My Blackboard tab, under My Faculty Tools, Bb Faculty Announcements.
The other blog maintained by the Learning Systems staff is the System Announcement blog (http://blog.vcu.edu/blackboard ). This blog is only used when something is happening with the system that affects all users of the system. Messages posted to this blog will generate an alert in the VCU portal (my.vcu.edu). All messages that are entered in this blog are also entered into Bb faculty blog (http://blog.vcu.edu/blackboardfaculty ).
Posting Vendor (Respondus, Softchalk/LessonBuilder, Wimba) emails to Faculty Blog (http://blog.vcu.edu/blackboardfaculty)
The Learning Systems staff periodically receive emails from the software vendors related to the third party tools that are under contract with VCU and assessable via Blackboard. The vendors are often having online sessions that might be of interest to faculty using their tools in Bb. When these emails are received the information is being posted to the Bb faculty blog (http://blog.vcu.edu/blackboardfaculty ). Bb 7.1 Documentation
Technology Systems Learning Systems staff and the Center for Teaching Excellence staff create documentation that is in addition to the Instructor Manual created by Blackboard (Control Panel – Manual). The additional documentation for Bb 7.1 can be found in the Bb Content Management System (Login to Bb – Content System tab – Institution Content – LMS Documentation – Bb Version 7 Documentation).
Discussion Board Grader option replaced
The Discussion Grader option (Control Panel – Discussion Grader) has been removed from the Bb Control Panel. The option is no longer a supported feature and does not function properly with Bb 7.1.
The feature has been replaced in version 7.1 with the ability to add the grading option when you create/modify the forum. To find documentation about the new feature: login to Bb – Click Content System tab – Click Institution Content – Click LMS Documentation – Click Bb Version 7 Documentation – Click Blackboard 7.1 Discussion Board Grading Option.doc.
Assignment feature vs. Digital Dropbox
The Assignment feature (Note: this feature is different then the Assignment button) gives the instructor the ability to create an assignment that can be placed in any of the content areas (Course Documents, Course Information, Assignment, etc.) for the course. After the assignment is added to a Content Area, a column in the gradebook appears for the assignment, the students may access the assignment, attach a file, and submit it back to the instructor. A “!” will appear in the gradebook for each student as they complete the assignment.

To add an Assignment
1. Control Panel
2. Go to Content Area (example Course Documents)
3. To the far right Select in drop down box – Assignment
4. Click GO
5. Complete the information about the Assignment
Student access to the Assignment
1. Students go to the Content Area
2. Click on Assignment
3. Type in Comment
4. Browse for Document to submit
Instructor accesses assignment document
1. Control Panel
2. Gradebook
3. Click on gradebook item for student who has completed the assignment. There will be an “!” in column if assignment has been submitted.
Share Portfolio with a Bb Course - option turned on
If you use the Content System Portfolios option you can share your Bb Portfolio with a Bb course. Students have the ability to do the same.
To share Portfolio with a Bb Course perform the following:
1. Click Content System Tab
2. Click Portfolios
3. Click My Portfolios
4. Click on “Manage” next to the Portfolio to share
5. Click on Share Portfolio
6. Top menu- far right Select “Share with Courses” Click GO
7. Click Browse to find Course to share with or Enter Course ID
8. Click Submit after searching and selecting course
9. Click Submit
10. Click OK
To View Bb Portfolios that have been shared with you via a course:
1. Go into the Bb course
2. Click on Tools
3. Click on Course Portfolios
4. Click on the title of the Portfolio to view it
· Copy Course no longer copies Discussion Forums
When you copy a course, the Discussion Boards are no longer copied over into the newly created course. You can go to the original course and export (Control Panel – Export – check Discussion Board) the Discussion Board and import (Control Panel – Import Package) the Discussion Board into the new copied course. Please note, it will import all of the threads along with the forums and you will have to delete the threads.
StudyMate Download
StudyMate lets you create ten Flash-based activities and games using simple templates. The Flash activities can be published directly to a Blackboard course. To learn more about StudyMate and download; login to Bb – My Blackboard tab – My Faculty Downloads box there is an option StudyMate Download – click on it.
Windows VISTA operating system – Bb issue
Bb is reporting that the Content System/Web Folder option (WebDAV technology) is not working properly with the Microsoft Windows VISTA operating system. Blackboard is working with Microsoft to resolve the issue.
Scholar tab (Blackboard’s social bookmarking tool)
Blackboard Scholar is a social bookmarking service provided by Blackboard for educational use. To learn more about Scholar:
1. Login to Blackboard
2. Click on Scholar Tab (or from a Bb Course – Tools – My Scholar Home or Scholar Course Home)
3. Click on Scholar Help ( top right of Scholar screen with line of links that are labeled Settings Install Bookmarklet Help Contact Us)

Wimba Live Classroom contract renewed for two years
If you are not familiar with Wimba’s Live Classroom, it is a web conferencing tool that permits synchronous interaction over the internet. Users in a Blackboard course/organization can interact online with each other via the internet using Live Classroom. Some of the features include voice over IP (VoIP), text chat, application sharing, web tours, and real time quizzing/surveys.
During the 2006-2007 academic year, Technology Services and the Center for Teaching Excellence collaborated to conduct a pilot project with a number of faculty using Wimba’s Live Classroom. Following a successful pilot evaluation, the Wimba Live Classroom license was extended for two years and is available to the VCU community via Blackboard.
Technology Services strongly encourages you to take a training class. A few lessons learned from the pilot; the setup wizard is required and was confusing for some users, using Live Classroom is a different teaching experience then being in the classroom face-to-face, once the user completed the set-up wizard the tool was easy to use and training and practice were very valuable.
You have three options for Live Classroom training:
1. Wimba online classes:

To create a Live Classroom session you have two options. One option is to go to your Blackboard Course, Click on Communication, Click on Live Classrooms, and Click on Create Room. The second option is to go to your Blackboard course, Click on Control Panel, Click on one of your Content Areas (example, Course Documents), Click on the Select dropdown box (top right of screen) and Select Live Classroom.

The Bb Collaboration tools (Virtual Classroom and Chat) are being replaced with the Wimba Voice Tools and Live Classroom. The Bb Collaboration tools are found by clicking on your Bb course, clicking on Communication, and clicking on Collaboration. The Bb collaboration tools will not be available after August 10, 2007. The Wimba Live Classroom and Voice Tools provide all the functionally of the Bb Collaboration tools and more.

Wimba Live Classroom and Voice Tools Maintenance Schedule
Wimba Live Classroom and Voice Tools are hosted by Wimba. The link in Blackboard to these tools is a link to Wimba servers that are maintained by Wimba. The following information was received from Wimba in regards to their maintenance schedule:
“Wimba maintains a standing maintenance window between the hours of 1am and 6am EST Sundays.”
Please note: Live Classroom will be offline all day on Thursday, August 16 for upgrade to version 5.0.
